Who Is It For?

For carriers that provide regular shuttle services to organizations and calculate their settlements and invoices by hand every month.

Staff Shuttle Companies

Companies that transport employees of factories, organized industrial zones and businesses on morning, evening and shift trips. Each customer's monthly settlement is calculated separately.

School Shuttle Companies

School shuttle companies that work under contract with schools or collect fees from parents. Student records, trip attendance and parent contracts are in the same program. On routes paid by the school, the settlement and invoice go to the school with 10% VAT applied automatically; on routes paid by parents, invoice drafts are prepared for installments that fall due. On student routes, vehicle age, route permit and escort staff documents are also checked.

Companies Using Subcontracted Carriers

Companies that run some of their routes with their own vehicles and some with subcontracted carriers. Each subcontracted carrier's agreement, settlement and deductions are kept separately.

Month-End Calculations No Longer Take Days

Move your trip book, trip log sheet and settlement calculations into one program. The trip log you mark every day turns into the settlement and the invoice at month end.

Routes and Trips

Define your routes for each client company or school: morning, evening and shift trips, their times and operating days. You select the default vehicle and driver for each route once.

Monthly Trip Log

Mark each trip on the month-and-day grid: done, customer cancellation, failed or extra trip. Fill the month in one go based on operating days, and when the vehicle or driver changes, correct only that day.

Customer Settlement from the Trip Log

At month end, the settlement is calculated automatically from the trip log; the rate type can be per trip, per day or fixed monthly. Lines you add manually are kept when it is recalculated.

One-Click Invoicing

The invoice is prepared from the settlement in one click. VAT is applied automatically by service type (staff shuttles 20%, student shuttles 10%); if VAT withholding is enabled on the route, 5/10 withholding is reflected on the invoice. After a preview, you send it to GİB (the Turkish Revenue Administration) as an e-Invoice or e-Archive invoice.

Subcontractor Settlement

If you have assigned a route to a subcontracted carrier, calculate their settlement from the trip log at their unit price. Fuel advances, penalties, cash advances and other deductions are subtracted; the net amount payable and the reconciliation statement are ready.

Shuttle Vehicles

Each vehicle's class, seat count, model year and age, plate type, passenger accident insurance, vehicle card (tied to the S authorization certificate) and route permit are kept on a single card.

Driver Documents

Keep records of your drivers' licenses, SRC certificates, psychotechnical assessments, medical reports and criminal record certificates in one place, together with their dates.

List of Documents Nearing Expiry

Inspection, traffic and passenger accident insurance, comprehensive insurance, vehicle card, route permit, and driver and escort staff documents are gathered on the Document compliance screen; documents expiring within 30 days are shown in yellow.

Route & Vehicle Profitability

See revenue by customer, route and vehicle side by side with subcontracted carrier payments, fuel, vehicle expenses and the employer cost of driver and school bus escort payroll. Each route's gross profit is shown in figures.

Fuel Tracking and Vehicle Costs

Enter fuel and mileage for each vehicle, and consumption (l/100 km) is calculated automatically. Maintenance, repairs, tyres, insurance and fines are on one screen, with warnings for upcoming services and unpaid fines.

Driver Payroll and SGK

Your drivers' and staff's payroll and SGK (social security) hire and termination notices are in the same program.

Accounts, Cash and Bank

Every invoice issued is posted to the customer's account. You record collections and subcontracted carrier payments to cash or bank from the settlement screens; outstanding receivables are on a single list.

One Flow from Trip to Invoice

You don't enter each step into a separate spreadsheet. The route is defined once; the trip log, settlement, invoice and gross profit report are linked and work together.

  • Customer Settlement: Settlement statement and draft invoice; VAT and the VAT withholding enabled in the route definition are applied automatically.
  • Subcontractor Settlement: Net payment and reconciliation statement, with fuel advances, penalties and other deductions subtracted.

Frequently Asked Questions

Frequently Asked Questions about Transport Management

Do I need separate software for staff shuttles and school shuttles?
No, it is a single program. When defining each route, you select staff or student as the service type; the VAT rate is set accordingly, and the settlement is calculated based on the route's rate type.
What is the VAT rate on shuttle invoices, and does VAT withholding (tevkifat) apply?
When you select the service type in the route definition, the VAT rate is filled in automatically: 20% for staff shuttles, 10% for student shuttles. If the invoice is issued to a buyer obliged to withhold VAT (for example, a VAT-registered company or school), 5/10 VAT withholding applies. VAT withholding is switched on or off for each route (it is on by default for staff shuttles) and is reflected automatically on the settlement invoice.
Who do I issue the invoice to?
The settlement and invoice are issued to the organization the route is linked to, that is, the company or school you serve. The organization is set up in the program as a customer account. On student routes where you collect the fee from parents, you set the route payment model to 'Parent pays': you select the installments that have fallen due and create invoice drafts with one click, then preview them on the Invoices screen and send them to GİB; such a route is not included in the school settlement.
Does it also keep student and parent records?
Yes. For companies with student routes there are screens for Schools, Students, Trip Attendance, Parent Contracts, Parent Payments and Fare Tables. The student and parent feature is enabled per company; while it is off, these screens only show information. Phone numbers and addresses appear masked, and health information is opened only with a separate permission and on record.
Are SMS messages sent to parents, and is there a phone app for parents?
According to the parent's SMS preference (all updates, or only did not board and delivered), an SMS is sent 60 seconds after the office marks a status; if a wrong mark is undone within that time, nothing is sent. The message contains only the child's first name. Reminder SMS at payment due dates is switched on separately. SMS sending is enabled in live use; in a trial setup no messages are sent. A separate phone app for parents is not offered at the moment; parents who have chosen SMS are informed by SMS.
Do I enter the fee per trip or per month?
For each route, you choose one of 3 rate types: per trip, per day or fixed monthly. Customer cancellations, failed trips and extra trips are marked separately in the trip log.
How is the calculation done when I assign a route to a subcontracted carrier?
You define the subcontracted carrier on the Subcontractors screen; their agreement records who pays for fuel and the contract dates. In the route definition, you enter the subcontracted carrier and their unit price. At month end, the subcontracted carrier's settlement is calculated from the trip log; fuel advances, penalties, cash advances and other deductions are subtracted, and the net amount payable and the reconciliation statement are prepared. The subcontracted carrier's invoice is recorded as a purchase invoice and the deductions are offset against this invoice. If you bought the fuel for a subcontracted vehicle, it is either deducted from their settlement or recorded as your company's expense, according to the agreement; if you pay a traffic fine incurred by the subcontractor's driver, it is also deducted from their settlement.
The subcontracted carrier also sends an e-invoice; will the same invoice be recorded as a duplicate?
No. When you record the subcontracted carrier's settlement as a purchase invoice, entering the number on their invoice is mandatory. The Incoming e-Invoices screen recognizes the same invoice by this number, shows it as processed and does not import it again; the same number cannot be entered again for the same subcontracted carrier either.
Does it track the validity of vehicle and driver documents?
Yes. Inspection, traffic insurance, passenger accident insurance, comprehensive insurance, vehicle card (tied to the S authorization certificate), route permit and vehicle age; drivers' licenses, SRC certificates and psychotechnical assessments; and the medical reports, criminal records, education directorate training certificates (MEM) and ages of drivers and escort staff are tracked on the Document compliance screen. Each appears as valid, expiring, expired or not entered; a document that is not mandatory and has no date entered does not appear in the list.
Is this a vehicle tracking (GPS) program?
No. İskay Transport Management is not a vehicle tracking device or a map application; it manages your routes, trip logs, settlements, invoices and documents. You don't need to give up the tracking system you use.
Do I need to install software on my computer?
No. The program is web-based; you log in through a browser from a computer, tablet or phone.
